Workspaces and people

A workspace is your team in Kite: its files, design systems, fonts and people, in one place.

What a workspace is

Everyone in a workspace sees the files the others make, uses the same design systems and fonts, and can place components from its libraries. You name your first one when you set up Kite. You can belong to several, for different teams or clients, and each keeps its files apart.

Create and switch

The workspace's name heads the files section of your library's sidebar. Click it (Switch workspace) to move to another workspace you belong to. The library, design systems and settings then show that workspace.

To make a new one, click the + beside the name (New workspace), type a Team name and choose Create. Kite switches to it and opens its settings, ready for you to invite people.

Roles

Everyone in a workspace has one of three roles: owner, Can edit (an editor) or Can view (a viewer). A workspace has one owner.

OwnerCan editCan view

Create, edit, move and archive filesYesYesNo

Create and change design systemsYesYesNo
Upload and remove fontsYesYesNo
Invite people and revoke invitesYesYesNo

A file can narrow this. Set to Everyone at your workspace can view, its editors can only view it; set to Invite only, only the people invited, the file's owner and the workspace's owner can open it. See Sharing.

Deleting an archived file for good is up to the person who made it, or the workspace's owner. See Archive.

Invite people

  1. Open Settings → People from your library's sidebar.
  2. Under Invite people to your workspace, type their email and choose Can edit or Can view.
  3. Click Invite.

They get an email with a link to join. If they already use Kite, the invite shows in their Activity too. Until they join, they are listed under People as Invited.

  • An invite lasts 14 days from when it was last sent. After that it shows as Expired; invite the same email again to send a fresh one.
  • Revoke cancels an invite that hasn't been accepted.
  • Owners and editors can invite and revoke. Viewers can't.

Join a workspace

Open the link in the invite email. Kite asks you to sign in if you aren't, then shows Join and the workspace's name, with the role you were invited as. Choose Join workspace.

An invite is for one email address. If you are signed in with a different one, Kite says so: choose Sign out, then sign in with the address the invite was sent to. An expired invite says This invite has expired.; ask for a new one.

Anyone with a company email

So your team doesn't need inviting one by one, the owner can let anyone with a company email join on their own. In Settings → People, under Joining, type your domain (such as company.com) in Anyone with a company email and choose Save.

From then on, anyone who signs in with an email on that domain joins the workspace as an editor. A few rules:

  • It must be your company's domain, not a public one such as gmail.com, and your own email must be on it.
  • Someone who was removed from the workspace, or left it, isn't added back by signing in.
  • Clear the domain and save to turn it off.

Manage people

People lists everyone in the workspace and their role. The owner can:

  • Change someone's role between Can edit and Can view.
  • Make owner: hand the workspace and its settings to someone else. You stay on as an editor.
  • Remove someone. They lose access to the workspace's files.

Anyone other than the owner can Leave a workspace from the same list. The owner can't leave; make someone else owner first.

Workspace name

Settings → General shows the workspace's Name. It is what your team is called in Kite, and the name invites to it carry. Only the owner can change it: type the new name and choose Save.

Fonts

Upload your brand's own fonts once and everyone in the workspace can set text in them, in every file. People who open one of those files, and its exports, see the right font too.

  1. Open Settings → General and find Fonts.
  2. Choose Upload and pick the font files: TTF, OTF, WOFF or WOFF2, up to 4 MB each. You can pick a whole family at once.

Kite reads each file's family, weight and style, and lists the fonts by family. Remove takes a family out; text set in it falls back to another font, in every file of the workspace. Owners and editors can upload and remove fonts.

Your uploaded fonts appear in the font picker alongside Google Fonts. See Fills, strokes and text.
